Run sheet templates

A run sheet template prepares a sequence of actions, such as opening the doors or welcoming speakers. Actions are positioned relative to the milestones in a timeline, without choosing an event date.

You need permission to manage run sheet templates. This guide follows the recommended With a frame option: prepare that timeline and, for a team template, the relevant team. Without a frame is also available; its entries use fixed times and do not follow milestone shifts.

Create the template

  1. In the organization menu, open Run sheet templates.
  2. Choose Team or Personal, then New run sheet.
  3. Choose the team if requested, then With a frame, the timeline to use and Create. The template exists as soon as the editor opens.
  4. Click the title to give the run sheet a recognizable name, such as “Welcome the public”.

Personal prepares a run sheet for an individual; it does not mean the template is a private document hidden from template managers.

Add an action

  1. Select Add an entry to open New template entry.
  2. Name the action “Open the doors”.
  3. Under When, choose Before, At milestone or After, then the reference milestone. For an action before or after that milestone, enter the Offset in minutes: for example, 60 before the show starts.
  4. Enter a Duration, in minutes, if the action takes time, then any useful Notes.
  5. Select Add entry, then Save at the top of the screen.

Save your changes before leaving the editor. Open Time preview, then set Preview — start at to display clock times based on an example start time; it does not schedule an event. Save this change too if you want to retain the preview. Switch between Timeline and Table to review the sequence.

To find the template again, return to All run sheets, choose the same Team or Personal scope, then click its name.

In a team template, you can prepare an assignee through a dynamic role. The person holding that role is designated in the event.

Reuse and maintain

The template is now available when preparing an event run sheet. Importing creates content in the event: later changes to that run sheet do not rewrite the template. Conversely, changing the template does not update run sheets already imported.

Use the row menu to Duplicate a template for a variation. Archive moves it to Archived; Unarchive returns it to the active list. Give templates names that make their intended use clear when importing.
