Temporary members

A temporary member uses EventOps for the events you grant them access to, during the specified period. This suits someone helping at a trade show’s welcome desk, for example.

You need temporary-user management permissions for the relevant scope. Prepare the event, its teams and roles before assigning access.

Add the person

  1. Open Temporary users, then New temporary user.
  2. Enter their Email and Name.
  3. Choose an Event if you want to prepare access now.
  4. Select the Role in the event and a Team if the role applies to a team.
  5. Check Start. Enable Set a precise end date to enter an End, or read the displayed end rule.
  6. Select Create.

An existing account can be linked directly; otherwise the person receives an invitation. Without an assigned event, their record is prepared but grants no event access. The initial “All events” choice does not grant access to every event.

Understand the access period

Before the start, access is Upcoming. During the period, it is Active. Once the period ends, it is Expired.

Without a precise end date, access ends after the event is marked completed and its configured delay has elapsed. Check the delay shown: it is not a universal duration for all events.

In the person’s record, Assign an event prepares additional access. Check the role, team and dates separately for each assignment.

Adjust or stop access

Depending on your permissions and the event’s rules, you can extend, revoke or reactivate access. Revoke cuts it short without erasing the person’s work. Deactivating the member suspends organization access; this is different from revoking one event assignment.

For an ongoing collaboration, Promote to permanent member changes their membership status. Choose an appropriate organization role. For someone who should appear in the directory without signing in, use an external contact.
