Roles and permissions

An organization role groups permissions. It determines which screens a person can view and which actions they can perform within the organization.

You need permission to manage roles to change these rules. Open Settings → Roles and permissions.

Read the matrix

Select a role, then expand a permission group. Click a cell to choose the access level: none, View or Manage. View allows consultation; Manage allows management operations in that area. A person may therefore see a list without its create or edit buttons.

Do not rely on a role’s name alone: its permissions define what it allows. Changes apply to members assigned that role.

Create a suitable role

  1. Select Create a role.
  2. Enter the Role name and a description of its purpose.
  3. To copy similar permissions, choose Start from an existing role. Otherwise keep None — start from scratch.
  4. Select Create.
  5. Check that the new role is selected, adjust its permissions, then Save.

Without a starting role, the new role has no permissions. Creating it does not assign it to anyone: select it later in a member’s invitation or profile.

The role menu also lets you duplicate it. An assigned role cannot be deleted; the protections shown on screen prevent removing essential organization administration access.

Organization, event or team work?

Organization roles do not replace event roles. Event roles determine what participants can view or change within that event, for one team or across teams. For example, access limited to the Welcome team does not automatically include the Technical team’s work. Open Settings → Event roles in the organization to prepare these permissions, then manage event participants to assign them.

A team dynamic role, such as “Entrance check”, assigns work. A function, such as “Welcome agent”, describes a position. Neither grants permissions. See Create and manage teams to prepare them.
